Human Resources Administrative Assistant
Classification: Exempt
Salary Range: $47,560 to $55,560
Reports to: Corporate HR Manager
Date: April 2024

Job Description
The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department.

Essential Functions
• Answers and directs departmental phone calls.
• Receives and distributes office mail.
• Schedules and organizes appointments; takes minutes during departmental meetings.
• Proofreads and prepares documents and correspondence produced by the corporate HR department.
• May assist with the processing of required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
• May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
• May assist the corporate and field HR with staffing initiatives.
• Prepares purchase orders and supplies for the human resource office.
• Maintains accurate and up-to-date human resource files, records, and documentation.
• Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior level HR staff or management.
• Maintains the integrity and confidentiality of human resources files and records.
• Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately. • Provides clerical support to the corporate HR department and as needed to the field HR team.
• Conducts or assists with the preparation of the new hire orientation paperwork.
• Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
• Performs other duties as assigned.

Skills and Qualifications
• Associate’ degree in related field required.
• 2 years of experience as an HR assistant (essential).
• Extensive knowledge of office management systems and procedures as well as the ability to operate general office equipment. • Effective HR administration and people management skills.
• Excellent verbal and written communication skills.
• Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. • Excellent organizational skills and attention to detail.
• Proficient with Microsoft Office Suite (Outlook, Word, Excel, and SharePoint).
• Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications. ADP Workforce Now knowledge a plus • Excellent time management skills
• Ability to maintain confidential information.
• Bilingual a plus

Supervisory Responsibility
This position has no supervisory responsibility.

Work Environment
This job operates in a food manufacturing environment. This role routinely uses standard office equipment.

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit and stand for long periods of time; and reach with hands and arms.

Position Type/Expected Hours of Work
This is a full-time exempt position located in Chicago.
The days and hours of work are Monday through Friday from 8:00 AM to 4:30 PM.
